Official sources for these rules

SentrueFile is an independent tool and isn't affiliated with any government. It prepares files; it doesn't give immigration advice.

Why IRCC uploads fail

IRCC's help centre lists a different per-file limit for each online account: 4 MB for the IRCC secure account, the Permanent Residence Portal, the online citizenship application and the asylum portal, and 5 MB for the IRCC Portal. It also warns that, depending on the application, the limit can be as low as 2 MB.

The second common problem is the number of files. Most upload fields take a single file, and IRCC explains that if you upload several into the same field, only the last one is saved. A passport with several pages, or a set of bank statements, has to go in as one combined document.

What this checker does

It puts photos and existing PDFs into one PDF in the order you choose, then reduces the pictures inside until the whole file is at or under your account's limit, counting 1 MB as 1,000,000 bytes. After saving, it checks the finished file again: that it's a PDF, within the limit, not encrypted, and a single file.

IRCC itself recommends lower scan resolutions, such as 96 or 150 DPI, and cropping away empty space to keep files small. If you're scanning from paper, those settings give the tool less to shrink and keep pages sharper.

  • One document per field. Make a separate PDF for each upload field, such as one for the passport and one for proof of funds, rather than one huge file.
  • Keep the page order natural. Put the identity page first and the remaining pages in order, so the officer reads the document as it is printed.
  • Fill the frame when photographing. Photos of pages work best when the paper fills the picture with only a thin border of table around it.
  • Check the smallest print. Zoom into stamps, dates and reference numbers in the finished PDF before you upload it.

How to prepare a document for an IRCC upload

  1. Choose your account or form at the top, so the tool knows your per-file limit.
  2. Add the pages: take photos, choose photos, or add PDF files. Put them in order and turn any that are sideways.
  3. Press Create PDF. Everything is combined into one file and brought under your limit.
  4. Read the upload check, tick the points only you can confirm, then download the PDF and upload it to the matching field.

How your files stay private

Your browser reads the photos and PDFs, builds the document, numbers it and shrinks it, all in memory on your phone or computer. The page is locked so it cannot send data to any other website. When you press Start over or close the tab, everything is cleared.

Limits

  • Up to 20 photos and PDF files per document
  • Photos up to 25 MB each; PDFs up to 50 MB each and 200 MB in total
  • Password-protected or restricted PDFs can't be added
  • Photos aren't cropped or straightened automatically yet

Questions

What is the IRCC file size limit?

It depends on the account: 4 MB for the IRCC secure account, Permanent Residence Portal, online citizenship application and asylum portal, and 5 MB for the IRCC Portal. Some applications go as low as 2 MB, so follow the limit shown on your upload page.

Can I upload several files in one IRCC field?

Usually not. IRCC says only the last file uploaded to a field is saved, so combine all the pages into one PDF first.

Is this an official IRCC tool?

No. SentrueFile is an independent tool and isn't affiliated with the Government of Canada. It prepares files and gives no immigration advice.

Are my documents uploaded to SentrueFile?

No. Your passport, statements and other documents are combined and compressed in your browser and never leave your device.

What if my file is still over the limit?

You get the smallest readable version and the check shows it as over the limit. Remove pages the officer doesn't need, or split the document if the form allows several uploads.

What does PDF Maker do that the other tools don't?

It does several jobs in one go: photos and PDFs become one document, page numbers run across all of it, and the finished file is brought under the size you choose. With separate tools you would upload the file again for each step.
